There was disaster of software many years back because numbers of high profile software project were failed to deliver expected results: over budget, overdue, etc. The crisis arose greatly because the software techniques were tried to use on larger projects which were meant to deal only small projects. Techniques were needed for software project management. Good project management cannot guarantee success, but poor management on important projects always leads to failure.

Every software project must have a manager who always leads the development team in the right direction and is the interface with the initiators, suppliers and senior management. The project manager’s roles are to:

Produce the Software Project Management Plan (SPMP)

Define the organizational roles and allocates staff to them

Control the project by informing staff about their part in the plan to be executed

Lead the project by making some major decisions and by motivating staff to perform well

Monitor the project by measuring progress i.e. how much percent project is completed

Report progress to the initiators and senior managers

A software development process is concerned mainly with the production aspect of software development, as opposed to the technical aspect, such as software tools. These processes exist primarily for supporting software development department, and are generally bias toward addressing business concerns. Many software development processes can run in a similar way to general project management processes. Examples are:

Risk management is the process of assessing the risk so that strategies can be developed to manage the risk. In general, the strategies which are employed include transferring the risk to another party, avoiding the risk, reducing the negative effect of the risk, and accepting some or all of the consequences of a particular risk. Risk management in software project management begins with the business matter for starting the project, which includes a cost-benefit analysis as well as a list of fallback options for project failure, called a contingency plan.

A subset of risk management that is pulling more and more attention towards itself is Opportunity Management, which means the same thing, except that the potential risk outcome will have a positive impact, rather than a negative impact. Though theoretically handled in the same way, using the term “opportunity” rather than the somewhat negative term “risk” helps to keep a team focused on possible positive outcomes of any given risk register in their projects, such as spin-off projects, windfalls, and free extra resources.

Requirement management is the process of identifying, extracting information, documenting, analyzing, tracing, prioritizing and agreeing on requirements and then controlling change and communicating to appropriate stakeholders. Requirements management, which includes Requirement analysis, is an important part of the software engineering process; whereby business analysts or software developers identify the needs or requirements of a client; after identifying these requirements they are ready to design solution.

Change management is the process of identifying, documenting, analyzing, prioritizing and agreeing on changes to scope and then controlling changes and communicating to relevant stakeholders. Change impact analysis of new or altered scope, which includes Requirements analysis at the change level, is an important part of the software engineering process; whereby business analysts or software developers identify the changing needs or requirements of a client; after identifying these requirements they are then in a position to re-design or modify a solution.

Theoretically, each change can effect the timeline and budget of a software project, and therefore by definition it must include risk-benefit analysis before approval. Software configuration management is the process of identifying, and documenting the scope itself, which is the software product underway, which includes all sub-products and changes and then enabling communication of these to relevant stakeholders. In general, the processes employed include version control, naming convention, and software archival agreements.

Release management is the process of identifying, documenting, prioritizing and agreeing on releases of software and then controlling the release schedule and communicating to appropriate stakeholders. Most software projects have access to three software environments to which software can be released which are Development, Test, and Production. In very large projects, where distributed teams need to combine their work before releasing to users, there will often be more environments for testing, called unit testing, system testing, or integration testing, before release to User acceptance testing (UAT).

What is the need of project management training?

A well-disciplined project management process is important for any project.

Project managers are expected to deliver good results on time and on budget.

Strong project planning minimizes the risks associated with any project you take on.

Why is There A Need For Project Management?

1. CONTROL SCOPE SLIDE AND MANAGE CHANGE

Small changes coming everyday occur on every project. They come from many ways like from management, the customer, your project team, suppliers, or other stakeholders. Individually, they may appear acceptable, but collectively these project demands can make up a significant project expansion that can let your company go beyond the budget. With proper project management, if the manager effectively manages the scope of their project, they have a far better chance of effectively managing project resources which are time, money, etc. — and managing change.

2. DELIVER PROJECT RESULTS ON TIME

The project management process starts with a well thought out business case justification that generally includes some cost calculation associated with Return On Investment (ROI). Once these measures are done, it is up to the project manager to ensure that on-time, on-budget performance is maintained; otherwise the project will never produce the expected results. That’s how a good project management should behave, and why there’s a need for project management.

3. MAKE THE PROJECT TEAM FOCUS ON THE SOLUTION

The project team can move aimlessly in wrong way and spend too much time on the wrong tasks. A good project manager keeps the project team focused by using a clear and concise project charter, resolving hurdles, or protecting the team from unnecessary interference.

You could be developing a product, providing new structure to your website or running a marketing campaign. Whatever the nature of your project is, good business project management will help ensure it runs smoothly.

With a slide learning curve, dedicated project management packages tend to offer more than necessary for straightforward projects. For example, a project is to run a direct mail marketing campaign to your customers might be a simple task for employees which wouldn’t require project management software. However, if we take a whole new product to market then it might involve hundreds of inter-dependent tasks performed by big amount of of people, over a longer time period. Project management software would then probably be useful for this project to move smoothly.
